AI Tools
Playboard has two ways to ask questions about your data with AI:
- Assistant: a chat panel built into the Web Portal.
- Your own AI app: connect an AI app such as Claude or ChatGPT to your Playboard account.
Both are read-only. They can look up your data, but they cannot create, change, or delete anything.
Assistant
To open the assistant:
- Open the Assistant panel
- From the left sidebar, click Assistant.
- Ask a question
- Type a question, or click one of the suggested questions.
- Press Enter or click Send.
- To add a new line, press Shift + Enter.
- Ask a follow-up
- The assistant remembers the current chat, so you can ask follow-up questions.
- Click the New chat icon to start again.
Example questions:
- "Which campaigns underperformed last month?"
- "Which devices are offline?"
- "Which bookings end this week?"
- "How do I pair a new device?"
What the Assistant Can See
The assistant can only see data that your team role gives you access to.

Note: AI can make mistakes. Before you share important numbers with a client, check them in the matching Web Portal page.
Usage Limits
Each user has a daily and a weekly usage limit for the assistant. The limits are per user. When you reach your limit, other members of your team can still use the assistant.
- When you are close to a limit, a notice above the chat box shows how much of the limit you used.
- When you reach a limit, the chat box is turned off. When the limit resets, the chat box turns on again.
- The daily limit resets at midnight, and the weekly limit resets on Monday at midnight (New Zealand time). The notice shows the reset time in your own time zone.
Long chats use more of your limit, because the assistant reads the whole chat again for each question. When you change topic, click New chat to use less.
Tip: If you reach your limit, you can keep going by connecting your own AI app.
Connect Your Own AI App
You can connect an AI app that you already use, such as Claude, Claude Code, or ChatGPT, to your Playboard account. You can then ask about your Playboard data from inside that app.
To find the setup steps:
- Open your account settings
- From the user menu, click Account.
- Open the Security tab
- Click Security, then go to Connected apps.
- Click Connect an AI app
- Choose your AI app to see the server URL and the setup steps for that app.
When you connect the app, you sign in with your Playboard account and approve access. Connected apps have the same read-only access and the same role rules as the assistant.
Things to know:
- Playboard usage limits do not apply to connected AI apps. Your AI app's own plan and limits apply instead.
- If you use AI often, or if you reach your assistant limit, connecting your own AI app is a good option.
- You can see and remove connected apps at any time under Account > Security > Connected apps.
